Bob Tools LLP ("Bob Tools", "we", "us", or "our") is committed to safeguarding your privacy. This Privacy Policy describes how we collect, use, disclose, and protect information when you use the bob.tools website (https://bob.tools/), the BOB Tools application (web, iOS and Android), and any other products or services that reference this Privacy Policy (together, the "Services").

Some of our applications have their own, product-specific privacy policies that apply in addition to or instead of this one for those apps: BOB Chat, BobBrain, and Currency Converter Offline. Where a product-specific policy exists, it takes precedence for that product.

This Privacy Policy is provided to explain our practices; it is not a contract. Where the law requires your consent for a specific processing activity, we will ask for it separately. Bob Tools LLP, registered in England and Wales (London), is the data controller for the personal information described here.

1. Information We Collect

  • Account information: your email address and name, provided when you register (including via Google Sign-In). Authentication is handled by Google Firebase Authentication.
  • Content you create in BOB Tools: forms, records, spreadsheets, documents, images and file attachments that you create or upload. This content is stored on your device and synchronized to our servers (hosted on Google Cloud) so it can be backed up, shared, and accessed across your devices.
  • Payment and billing information: payments are processed by Stripe. We receive transaction records (amount, date, status) but we do not receive or store your full card details.
  • Communications: messages you send to our support and feedback you submit through the Services.
  • Device and usage data: information collected automatically, such as IP address, device and browser type, operating system, app version, crash reports, and interaction events. We use Google Firebase Analytics and Crashlytics (mobile apps) and Sentry (web app) for this purpose.

2. AI Features and How Your Content Is Processed

BOB Tools includes AI features such as extracting data from images and documents, the in-app AI assistant/chat, and automated transformations of your records. When you use an AI feature:

  • The content needed to fulfil that request — for example the image you scan, the text of the records involved, your prompt, and any attachments or screen context you include — is transmitted to our servers and passed to a third-party AI provider to generate the result. Our current AI providers are Google Cloud (Vertex AI / Gemini models) and OpenAI.
  • This content is sent solely to generate the response for your request. We access these providers through their business/API services, whose terms state that data submitted via the API is not used to train their generalized models.
  • We do not use your content to train AI models ourselves.
  • AI features that require processing on our servers do not work fully offline; content is transmitted only when you invoke an AI feature.

AI outputs are generated automatically and may be inaccurate. Please review AI-extracted or AI-generated data before relying on it.

3. Integrations You Connect

If you choose to connect third-party integrations — for example Google Sheets and Google Drive export/import, or Telegram notifications — we access and transfer only the data needed to provide the integration you enabled, with your authorization. You can disconnect integrations at any time.

4. Use of Cookies and Tracking Technologies

Like most online services, we use cookies and similar technologies to keep you signed in, remember preferences, analyze usage, and improve the Services.

5. How We Use Your Information

  • To provide, operate, and improve the Services, including synchronizing and backing up your content;
  • To provide AI features you invoke, as described in section 2;
  • To process payments and maintain your usage balance;
  • To send service notifications, including push notifications you have enabled;
  • To understand and analyze usage trends;
  • To respond to your inquiries and provide support;
  • To send administrative information, such as changes to our terms and policies;
  • To protect the security and integrity of the Services and comply with legal obligations.

6. Sharing and Disclosure of Information

We do not sell, rent, or lease your Personal Information to third parties. We share information only with:

  • Service providers that process data on our behalf to run the Services: Google Cloud and Google Firebase (hosting, authentication, analytics, crash reporting, push messaging), Stripe (payments), Sentry (error reporting), and our AI providers listed in section 2;
  • People you share with: when you share a form, document, or public link, the shared content is visible to its recipients according to the sharing settings you choose;
  • Legal requirements: where required to comply with law, enforce our terms, or protect rights, safety, and security;
  • Other parties with your consent.

7. Data Security

We implement reasonable security measures designed to protect your information from unauthorized access, use, alteration, or disclosure, including encryption of data in transit. However, no security measures are perfect or impenetrable.

8. Data Retention and Deletion

We retain your Personal Information and content for as long as your account is active or as needed to provide the Services, and afterwards for the period required for legal, tax and accounting purposes. You can delete individual content within the app, and you can request deletion of your account and associated data by contacting us at compliance@bob.tools.

9. Your Privacy Rights

Depending on your jurisdiction (including under the UK and EU GDPR), you may have rights to access, correct, delete, restrict or object to the processing of your Personal Information, to data portability, and to lodge a complaint with your local supervisory authority. 10. International Data Transfers

Your information may be stored and processed in any country where we or our service providers operate. Where required, transfers are protected by appropriate safeguards such as standard contractual clauses maintained by our providers.

11. Children's Privacy

Our Services are not directed to individuals under the age of 18. We do not knowingly collect Personal Information from children under 18. If we become aware that we have collected Personal Information from a child under 18, we will take steps to delete such information from our files as soon as possible.

12. Google Workspace APIs

We explicitly affirm that Google Workspace APIs are not used to develop, improve, or train generalized AI and/or ML models. Data obtained through Google Workspace APIs (such as Google Sheets and Drive) is used only to provide the integration features you enable.

13. Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes to our information practices. The "Last Updated" date above will be revised when we do. If we make material changes, we will notify you by email or by means of a notice on our Services prior to the change becoming effective.
